    Quote Proposal Template

    Template

    Service quote / proposal template

A clean template for sending quotes and proposals to UK B2B prospects — the structure that converts more often than wall-of-text PDFs.

Who it’s for: Founders, sales leads, and service-business owners

    How to use

    Follow these steps

    1. Cover (1 page)

Client name, project title, proposal date, your contact details. Photo of the project lead. One-line proposition: what you''ll deliver and by when.

    2. The problem (1 page)

Mirror back the problem in their words. Demonstrates listening; clients buy from people who understood the brief.

    3. The proposed approach (1-2 pages)

Phases, methodology, what each phase delivers. Avoid generic ''Discovery / Design / Deliver'' — make each phase specific to this engagement.

    4. Timeline (1 page)

A visual showing the key dates: kick-off, milestones, delivery, go-live. Highlight dependencies on client input.

    5. Team (1 page)

Who''ll do the work. Two-line bios. The client should know who they''re hiring.

    6. Investment (1 page)

The fee. Single number wherever possible, or 2-3 clearly differentiated options. Inclusive of what / exclusive of what. Payment terms.

    7. Next steps (half page)

Two specific next steps with deadlines: ''Sign this proposal by Friday, kick-off Tuesday''. Reduces sales-cycle friction.

    8. Appendix: terms

Standard T&Cs as appendix, not body — keeps the proposal readable while preserving legal protection.
